Purpose and scope
Policy status: Approved and in effect. Pingplus Media maintains this policy as an active part of its established governance and daily operating practices. Effective April 11, 2026.
Pingplus Media retains information only as appropriate for delivering contracted services, security, fraud prevention, billing and accounting, compliance and legitimate operational purposes. Required periods can vary across message content, delivery receipts, service logs, invoices, support records and system backups.
Principles
Retention and deletion are determined by data category, customer instructions, applicable laws, contractual requirements and the relevant technical lifecycle. Some records may require longer preservation for legal claims, accounting, dispute resolution, security investigations or lawful holds.
Operational and backup records
Enterprise messaging systems may hold delivery records, routing/settlement evidence and diagnostic logs. Backups follow recovery and rotation requirements, and their removal may occur on a different schedule from active system records. Exact contractual periods and deletion workflows are available through the relevant service agreement or authorised customer support channel.
Requests
A customer seeking return, correction or deletion of data should contact us through its authorised enterprise support contact or our contact form. Individual recipients may need to contact the enterprise that initiated the message. Requests are subject to identity/authority checks and lawful exceptions.
Detailed retention and deletion terms are provided in applicable customer agreements and service documentation.
Categories and governing factors
Different records serve different purposes. Enquiry details support responding to an initial prospect; commercial records support contracts and payments; account/access logs support security investigations; message submission and delivery records support service operations, dispute handling and reconciliation; archived backups support continuity. Each category must have an owner and retention decision reflecting law, business necessity, customer instructions and the system’s actual capabilities.
Retention periods are service-specific
We do not state a single universal number of days for message bodies, destination numbers, delivery receipts, logs or backups. Actual retention can differ by customer agreement, regulatory territory, billing reconciliation requirements, security holds and recovery cycles. Customers requiring defined schedules or deletion milestones should record them in a signed order, data processing agreement or approved schedule after operational validation.
Deletion and permitted exceptions
Where technically and legally appropriate, expired data is deleted or irreversibly de-identified through authorised workflows. Deletion may be delayed where a valid legal preservation order, dispute, fraud/security investigation or accounting obligation applies. Backups are normally managed through scheduled retention and expiry, rather than selectively editing an individual recovery image, to protect data consistency.
Customer and individual requests
A verified customer administrator can request correction or deletion within agreed capabilities, specifying the relevant account, data category, period and legal basis. A message recipient should generally approach the original sender first because Pingplus may act on that customer’s processing instructions. We evaluate applicable data subject requests and legal exceptions without requiring the requestor to submit sensitive secrets.
Auditing and policy review
Our assigned operations and compliance owners regularly reconcile the documented retention schedule with database, backup, analytics, log and supplier retention settings. Discrepancies are recorded as controlled remediation items; public statements reflect documented operating practices and approved controls.
