Personal data we may handle

Policy status: Approved and in effect. Pingplus Media maintains this policy as an active part of its established governance and daily operating practices. Effective April 11, 2026.

Depending on the service or relationship, we handle business contact and enquiry information, account credentials and identifiers, billing and support records, recipient telephone numbers, message delivery metadata and, when applicable, customer-supplied message content. Website usage may generate technical information including IP address, browser/device details and analytics events.

Why we process information

We use information to respond to enquiries, provide contracted messaging and media services, administer accounts, support service delivery and troubleshooting, prevent misuse, maintain security and operational records, fulfil legal obligations and manage the customer relationship. Where we deliver messages for an enterprise customer, that customer generally determines its recipient lists, messaging purposes and lawful communication basis.

Recipients and service providers

Relevant personnel, hosting and infrastructure service providers, telecommunications or messaging delivery partners, professional advisers and authorities may receive data to the extent required for the stated purposes, customer instructions, contracts or law. The precise processor and cross-border arrangements depend on the service. Customers can request applicable contractual processing and supplier disclosures via our contact page.

Security, retention and deletion

We apply service-appropriate access controls and operational safeguards to personal and business data. Retention, deletion and access decisions depend on the data category, lawful requirements and customer instructions.

Your rights and questions

Where applicable, individuals may request access, correction, deletion or other rights under relevant privacy laws. We may need to verify an identity or refer a message-recipient request to the enterprise customer controlling that communication. Use our contact form with the subject “Privacy Request”; do not include OTPs, passwords or unnecessary message content.

Revisions

We review this notice when our services or legal requirements change. This page describes general practices and does not replace a customer-specific data-processing agreement.

Our role in an enterprise communication

When a business customer determines who receives a message, why the communication is sent and which sender identity is used, that customer ordinarily decides the core purpose of processing. Pingplus Media supplies transmission and operational services under instructions and relevant contracts. For visitors, suppliers and direct prospects who contact us, we determine the limited business-contact processing needed to answer the enquiry or administer the relationship.

Data minimisation and access

We encourage data minimisation across messaging workflows. Customers should provide only data necessary for their selected service and use approved channels to transmit confidential account information.

International routing and partners

Messaging routes can involve telecommunications operators, aggregators and other service providers located in different jurisdictions. The precise countries, subprocessors, transfer mechanism and data categories depend on the contracted service, destination and traffic type. We aim to disclose material arrangements through customer terms, contractual annexes or direct security enquiries rather than publishing sensitive supplier-route diagrams.

Requests from message recipients

If a person received a message from one of our business customers, the originating business may be best placed to determine consent, accuracy, the appropriate opt-out and legal processing basis. We direct requests to the relevant customer when appropriate, subject to security, confidentiality, lawful instructions and applicable legal requirements. To help locate records, provide a limited description of the communication without sending passwords or OTP codes.

Governance and revision

We assess changes in services, processing purposes, applicable laws and third-party arrangements before materially updating this notice. Customer-specific data processing agreements, statutory notices and negotiated contracts prevail where they establish stricter or more particular obligations. An internal privacy lead or executive delegate reviews escalated rights requests and material incidents through the company governance process.
